The Welfare Agreement

When a student logs into MedLearn, their dashboard will display the student welfare agreement. Example text for this agreement is shown below, but it may differ for your department.

The Imperial College School of Medicine (ICSM) Welfare team (feo.welfare@imperial.ac.uk) and ICSM tutors need access to your personal data to provide you with support when you need it.

To support the welfare process, we currently refer to some personal information you have provided to College since your application.

We also understand you may need to discuss sensitive topics such as health, mental health, disabilities, or challenging or difficult circumstances in your personal life that may be affecting you and your studies. We may not be aware of your personal circumstances unless you bring them to our attention.

To enable us to discuss those sensitive topics with you online, and so we can hold relevant information related to those discussions, we need your consent.

Where applicable your information may be stored on a secure online platform. The online platform we use is Medlearn with online meetings being conducted over Microsoft Teams. These online sessions are available on a videocall or audio basis.

Any information you provide to us will be treated as confidential, and it will not be disclosed to a third party without your consent unless we have serious concerns that you or another person are at immediate risk of serious harm, or we have a legal obligation that overrides your individual rights. Details of your individual rights and how Imperial College processes student data can be found here. You can withdraw your consent at any time by contacting feo.welfare@imperial.ac.uk.

Regardless of whether you consent, we will do our best to help you as much as possible, but please be aware we may not be able to provide some help and assistance without your consent to process your sensitive personal data.

Students have the option to agree / disagree with the agreement. If they disagree, when tutors view this student they are notified that the student has not agreed and must act accordingly.
