Reporting Functionality

The system provides three key reports to monitor tutee engagement and welfare:

1. Welfare Declarations Report

Purpose:
This report enables the welfare team to identify students who have not yet signed the required welfare agreement.

Functionality
:
Generates a list of students who have not signed the welfare agreement.
Allows for the export of this data as a CSV file for further analysis or action.

Usage:
Navigate to Welfare & Tutoring > Reports  and select “Welfare Declarations.”
Use the “Export CSV” button to download the data.

2. Tutor Meetings by Term Report

Purpose:
This report provides an overview of tutor/tutee meeting activity within the current term.

Functionality:
Displays which tutors and tutees have and have not held meetings during the specified term. You can also bulk email all tutees who have yet to meet their tutor this term.

Relies on accurate term information being configured in the network settings, as well as tutors indicating if meetings took place or not.

Important Note:
Please ensure the network settings contain the correct term start and end dates for accurate results.

Usage:
Navigate to the Welfare & Tutoring > Reports and select “Tutor Meetings by Term.”

The report will automatically generate based on the current term settings. You can change cohort / department as well as generate a reporet for each term.

Once the report has been generated, click the ‘Email Students’ tab to bulk email students. The email text sent to students can be modified in the Welfare & Tutoring > Welfare Settings.

3. Meeting Frequency by Term Report

Purpose:
This report visualises tutee meeting frequency over time.

Functionality:
Presents a bar chart illustrating the distribution of tutee meeting frequency within the current term.
Provides a graphical representation of tutee engagement.

Usage:
Navigate to the Welfare & Tutoring > reports and select “Meeting Frequency by Term.”
The bar chart will be displayed.
