Creating and editing tutor groups
Tutor groups are assigned to a parent group, cohort or programme e.g. BMB Year 1 or Master of Public Health). Each tutor group is assigned a single tutor.
- Navigate to ‘Welfare & Tutoring’ > Tutor Groups
- Create a CSV with three columns : Group Name | Student Username | Tutor Username
- The ‘Group Name’ is the unique identifier and must therefore must be different for each different tutor group. e.g. You cannot have two groups called ‘Tutor Group 1’ that have different tutors. An example is shown below
- Ensure the correct parent group is chosen in the dropdown
- In the ‘Upload Student CSV file’ Click ‘Choose a file’, locate your CSV and click Upload
You will then be presented with a preview screen showing the new groups you wish to create along with tutors and students attached. Possible problems will also be shown. If you are happy with the groups click the ‘Upload Groups’ button.
Here is an example of the CSV data required.

If you are editing existing groups by either:
- Changing the group name
- Changing the tutor
- Adding / removing students
It is vital you download an export template and use this when re-importing the groups.
- Navigate to the relevent cohort in Welfare & Tutoring > Tutor Groups
- Select the ‘Export Template Tab’
- Save the data to CSV
- Make any changes required (see below)
- Click on the Edit Group and Membership tab
- Re upload the CSV file
What does the Group ID column do?
When importing a CSV file, MedLearn looks for the Group ID column and if blank it CREATES new tutor groups. Otherwise it UPDATES existing groups.
So to move a tutor to a different group:
- Remove the existing row with the student data
- Insert a new row with the new data and ensure the Group Name, Tutor Username and Group ID are correct
Things to note:
- Students can only belong to one tutor group. Adding a student to another group removes them from all other tutor groups
- Tutors can have multiple tutor groups in multiple programmes & academic years
